Terms of Service

The business named below, based in Poland, operates JudgeMate. In these terms, “JudgeMate”, “we” and “us” mean this operator.

JudgeMate is a web platform for sports competitions. Organizers create events and categories, add participants and assign judges. Judges enter scores, and JudgeMate calculates rankings from those scores and the settings the organizer chose. When the organizer makes an event public, its results, start lists and live scoreboards appear on public pages.

To use JudgeMate you need a device with an up-to-date web browser and an internet connection. The service changes over time: we add, change and remove features.

Organizers and judges need an account, and so do athletes who register themselves. Organizers can also add athletes who have no account. Spectators can view public pages without signing in.

Keep your sign-in details to yourself, give accurate information and do not use an account in someone else's name. If you think someone else has access to your account, tell us.

Roles are assigned per event, so one person can organize one event and judge or compete in another:

• Organizers create the event and manage its categories, participants, judges and results.
• Judges enter scores in the categories the organizer assigns to them.
• Athletes register for categories and follow results. In some formats, athletes report their own results.
• Spectators follow public results, scoreboards and display screens.

A person who is a minor under the law of the country where they live may use JudgeMate only with the permission of a parent or legal guardian.

The organizer runs its event and is responsible for the data it enters, imports and publishes in JudgeMate. In particular, the organizer:

• has a legal basis for the personal data of athletes, judges and other people that it enters or imports, including consent where the law requires it;
• obtains consent from a parent or legal guardian before entering the data of an athlete who is a minor, and can show that this consent was given;
• tells participants that the event runs on JudgeMate and which of their data will be public, for example names, clubs and results on the event page;
• sets the competition rules, categories and scoring settings, checks the results, decides which results are official and handles appeals;
• gives staff and judge access only to people it has authorized, and removes that access when it is no longer needed.

Do not use JudgeMate to:

• break the law or infringe the rights of others, including their privacy;
• upload content that is unlawful or that you have no right to share, such as images, music or documents;
• access events, accounts or data without authorization, or work around access controls;
• enter scores or results that you know are false;
• disrupt the service, put an unreasonable load on it or test its security without our written permission;
• collect other users' personal data or send them unsolicited messages.

If you find a security problem, report it to us instead of testing it further. We may suspend access for anyone who breaks these rules.

As between the organizer and JudgeMate, the organizer owns the data of its event: event and category settings, start lists, participant records, scores, results and uploaded files. Scores and results that judges and athletes enter in the event are part of that event's data. Athletes, judges and other people keep the rights to their own personal data that data protection law gives them.

The organizer permits JudgeMate to store, copy, process and display event data only as needed to run the service: to calculate results, to show data to the people the organizer gives access to, to publish what the organizer makes public, to answer support requests and to keep the service secure. People who operate JudgeMate can access event data for these purposes. We also use information about how events are set up and used to fix problems, improve JudgeMate and contact organizers about their events.

We do not sell event data or personal data, and we do not use them to train artificial intelligence models.

Start lists and results are not confidential. Any signed-in JudgeMate account can view event details, start lists and scores, and anyone with the link can open a public event page.

The JudgeMate software, its design and the content we publish, such as guides, remain ours.

We run JudgeMate on a best-effort basis. We do not promise that the service will always be available or free of errors, and we do not commit to any uptime level.

When an organizer tells us the dates and times of its competition, we do not schedule maintenance during that window. Unplanned outages can still happen. JudgeMate runs on Google Firebase and Vercel and depends on the internet connection at the venue; outages of these providers or of the venue connection are outside our control. We recommend exporting your event data after each competition.

JudgeMate is currently free to use.

If we introduce paid plans, we will tell existing organizers in advance, before any charge applies. A paid plan applies only from the date it starts, and we will never charge for use of the service before that date.

You can stop using JudgeMate at any time. Organizers can export an event's data as JSON or Excel from the event dashboard.

We may suspend or close an account that seriously or repeatedly breaks these terms, or when the law requires it. Unless the law or a security risk prevents it, we will warn the organizer first and give it time to export its event data. If we decide to shut down JudgeMate, we will tell organizers in advance and give them time to export their data.

Organizers can ask us to delete an event's data, and any user can ask us to delete their account and personal data. Send the request from the email address of the account it concerns.

JudgeMate is provided free of charge and as it is. Results shown in JudgeMate depend on the scores and settings entered, and the organizer checks and confirms the official results.

To the extent the law allows, we are not liable for indirect or consequential loss, loss of profit or revenue, loss of data, or decisions made on the basis of results shown in the service.

Nothing in these terms limits liability that the law does not allow us to limit, such as liability for damage caused intentionally, or takes away rights that consumers have under mandatory law.

We may update these terms. We publish each new version on this page with a new date. If a change significantly affects organizers, we will tell them in advance.

These terms are governed by Polish law, and disputes are decided by the Polish courts.

If you are a consumer, you keep the protection that the mandatory laws of your country of residence give you, including any right to bring a claim before the courts where you live.
